Profil
- Relevant financial and administration management qualifications (Bachelor or Master in Finance or Accounting).
- Minimum of 5 years of relevant experience in audit or financial control
- Knowledge and experience of international and local donor funding environment, including financial reporting requirements and process is a plus.
- Knowledge of Business Central accounting system is an asset but not compulsory.
- Rigorous and quality oriented, you are very well organized, able to plan and manage deadlines efficiently, being autonomous and initiative taker.
- Strong communication skills, with written and spoken English.
- Strong interpersonal skills, you can manage sensitive information and are a great team player.
- Proven ability to provide support, guidance and training.
- Possession of sound judgment.
Description
As member of the Finance & Administration department, you will actively participate in the department’s mission which consists in securing, managing and optimizing the financial and technical resources and means of WWF Belgium.
You will be responsible for the sound financial management of the programs under your responsibility (nature conservation programs, internationally and in Belgium), as well as the quality and compliance of the information produced. As such, you will produce the necessary information for financial controlling (budget, monitoring, reporting), and for the justification of funds to public and institutional donors.
To do this, the Financial Controller will work in close collaboration with the International Programs and National Programs team members.
You will directly report to the Finance & Administration Director and will join a team of 6.
Key duties and responsibilities
- Financial management and control of the International Programs and Field programs in Belgium (0.8 FTE):
Financial monitoring
- Help establishing and analyzing the program budget (in collaboration with the relevant Project Managers);
- Analyze and control the quarterly financial reports from partners, ensuring that these are accurately and timely established and are in line with budgets, program activities and (if applicable) donor requirements;
- Verify the cash requests from partners, their adequacy with the budget and monitor the status update of the project in terms of budget consumption;
- Be responsible for the follow-up of audits of donors (in the production of accounting statements, supporting documents, answers to questions from auditors and provides remote support when the audit is carried out in the field) and/or of internal reviews.
- Collaborate to the update of the administrative and financial procedures.
- Guarantee the right application and follow-up of:
- the administrative and purchasing procedures;
- the procurement guidelines and criteria established by WWF and donors;
- Ensure that donor rules and regulations are applied and followed in the financial management of projects;
- Ensure the proper allocation of salaries to projects:
- Implement a system of timesheets in order to give rationale to this allocation;
- Undertake internal control audits of the field programs:
- initiate actions
- provide recommendations to correct any internal control weaknesses.
- Establish and implement financial best practices in terms of reporting and audit to ensure efficient and seamless support and coordination with Field Offices;
Reporting
- Prepare & submit financial reports for the donors, ensuring reporting in the donors’ due format, accuracy of information, compliance and timely submission.
- Feed in the programs’ dashboards in order to provide synthetic financial updates, consistency with the Accounting.
- Internal financial control (0,2 ETP)
- Support the Finance & Administration Director for collecting and challenging figures for budget exercise.
- Coordinate all type of compliance of procedures & audit processes (external, donors or government), in close collaboration with the Finance & Administration Director
